How are you managing your time? Is it working for you?
The answer to that question is likely no. If you’re feeling stressed out and overwhelmed, it’s time to make some changes to your management. Whether you want to advance in your career or simply feel more accomplished each day, this blog post has 10 tips that will drastically improve how well you manage your time. Use these pro-tips to stop procrastination, be consistent with what matters most, and become more productive!
1 : Start your day off with a quick exercise routine
By exercising in the morning, you will not only feel more energetic and productive for that day but it will also burn off any extra calories from your previous night’s dinner. Whether it’s yoga, running, or calisthenics. It will wake you up and get your blood flowing so that you can feel invigorated for the day. So long as you stay consistent with this routine, these simple steps to a healthier lifestyle can drastically improve your time management skills by increasing productivity and decreasing stress levels.
2 : Create a daily to-do list that is realistic and achievable
At the beginning of each day, transfer all tasks from your list into a daily to-do list. This will help you understand what you have on today’s agenda. Make a list of all your future tasks and responsibilities. This will include things like answering emails, filing paperwork or anything you have been assigned by someone else. I do this so that I can understand my daily workload.
Make sure everything is well organized and labeled accordingly so that it can be located easily when needed. Write down your daily to-do list on a piece of paper and place it in front of your computer screen so that you can quickly glance at it without getting lost.
3 : Make a list of your priorities
Prioritize your all tasks. If you are working on three tasks at the same time, which of them should be done first?
Break your goals into smaller milestones. Make sure that each milestone is actionable and realistic. Find a way to track your progress so that you can see how much work have you completed during the day or week.
Be consistent. If you manage your time well for a few days, don’t stop doing it because you think “it’s going great”. You need to make this routine long-lasting by being persistent and dedicated every day or week.
4 : Create deadlines for yourself and stick to them
Set deadlines for yourself and stick to them. If you don’t give yourself any deadlines, you will never have a sense of urgency. This is one of the most important time management tips for busy professionals because it forces you to prioritize your tasks according to their importance and encourages prioritization which leads to better efficiency in work.
5 : Check your email only once or twice a day
If you check your email all day, it will be very hard to focus on an important task like writing a blog post or putting together complex spreadsheets for work. Checking email all the time will also create a ton of clutter and stress. If you really need to check it, then try scheduling specific times during your day. For example, check it at 12 PM and then again at either end of your workday. Don’t forget to turn off the notification on your phone!
I am guilty of this way too often – especially when I get a new email app notification (which is like every hour). It’s easy to feel like you need to respond right away because you know that the person is waiting for it. However, if you are working on something important then don’t answer them – just wait until your break or at the end of your workday.
I have actually started to leave my phone in another room when I get home so I’m not tempted to keep checking emails all night long!
6 : Learn how to say no and delegate tasks if you need to
If you keep saying yes to everyone, it’s going to be impossible for you to become more productive. This is why time management thrives when each person on the team can take some of the weight off your shoulders. You might need help with this though, so reach out and ask people if they are able/willing to complete some of your tasks for you.
7 : Keep your work area clean and organized at all times
If you can’t find what you need, it will take more time to complete the task and create even more stress. Keep your workspace clean!
A cluttered office is a sign of a cluttered mind. Cluttered desks and chairs keep us from staying organized and focused on our daily tasks at hand. So get rid of the clutter and keep your work area clean!
Repeat these tips often: Cleanliness is next to godliness, less is more, store what you use daily.
8 : Schedule time for yourself to relax and recharge
Think of ways you can reduce your stress. It’s important to make sure that you’re taking care of yourself and not overworking yourself. If possible, consider hiring a virtual assistant or personal assistant who will take some responsibilities off your plate so that you have more time for yourself.
9 : Get rid of distractions like social media, TV, and smartphones
Social media is a big time-waster, so it’s best to avoid that in the morning when you have important tasks ahead of you. TV takes up your free time and prevents you from being productive. It can be entertaining at times but it will cost you focus later on in life!
Smartphones are also a big time waster. It’s best to not have your phone out when you are working because it can be very distracting!
10 Plan your day the night before
Plan your day the night before. Knowing what you have to do tomorrow will dramatically increase your chance of success for that next day. You can always adjust depending on how things go, but at least having a general outline is better than just waking up and winging it every single morning!
